Tent Applications: Tents rentals are generally used as temporary shade and shelter structures. All of our rental tents have been impregnated with waterproofing compound, but please note no tent rental is guaranteed to be 100% waterproof. Tent rentals that are connected to another tent or structure require rain gutters to prevent water from running down through the gap between structures. Rain gutters are installed at an angle using gravity to guide the water outside the tent. Depending on the amount of wind and rain, rain gutters are subject to failure. In a rainstorm, water may also run under the tent depending on the site terrain.
Tent Rental Space Requirements: At a minimum, the area for your tent rental must include an additional 5' to 10' of space around the perimeter for the stake lines. Example: a 20' x 20' tent needs and area that is at least 30' x 30'.
Permissions: Client is responsible for securing permissions to use the site and install tent rentals and holds Special Event Rentals harmless for any failure to inform the site owner of the intended property disturbance from staking and set-up.
Work Area: We install our tents rentals where you want them. Please recognize that the work area extends 10’ beyond the tent perimeter to allow room for installers to operate. Items within 10’ of the tent, including gardens and landscaping, are at risk for accidental damage. Long aluminum poles and heavy tools are used to assemble tents. Our tent rentals Edmonton crew does their best to mind delicate areas of the site but accidents still happen occasionally. Where possible, please remove items from the general area that could be damaged in the process. Special Event Rentals will not be responsible for damage to items or injury to non-Special Event Rentals persons within the work area.
Preparation of Area: The area must be free of any obstructions before our tent rental crew arrives. Parking lots must be cleared and blocked off. If the set-up is delayed, additional labor fees at our standard rate per hour per man will be charged.
Non-rental Items: Due to workers' compensation rules, Special Event Rentals will not move any non-rental items, including, but not limited to furniture, vehicles, plants, lighting, etc.
Underground Utilities: The client is responsible to contact Alberta 1 Call to mark the following using flags or stakes:
Special Event Rentals is not responsible for damage to underground utilities. Call Alberta 1 Call for utility line assistance at least one week prior to delivery. During high season, 2 weeks lead time is recommended.
Asphalt Installation: When installing a tent on asphalt, we drive steel stakes that go approximately 30" deep. The hole is patched upon take down.
Concrete Installation: When installing a tent on concrete, we drill a hole 1" to 2" deep and insert a ram-set anchor. The anchor is flush with the surface and does not perforate the concrete bed. A bolt is then screwed into the anchor to secure the tent leg. When the tent rental is removed, the anchor is left in the concrete and a cap screw is put in place. This prevents any debris from getting in and allows us to re-use the same anchors on your next set-up (providing the tent rental is the same size).
Incidental Damage: Tent rental poles and stakes support significant loads and will mark, dent and scratch the surface upon which the tent rental is installed. Special Event Rentals is not responsible for damage to tile, stone flooring, patios, tennis courts, driveways, walkways, etc.
Weather Delays: Client assumes all weather related risk. This includes responsibility for tent rental fees, tent rental damage, property damage and time delay. If the set-up must be completed during adverse weather conditions such as wind or rain and cannot be rescheduled to another mutually acceptable time, the set-up delays may be billed at the standard rate per man per hour.
Take-Down/Strike: The area must be free of any obstructions before we arrive and the tent rental must be emptied of all non-Special Event Rentals items. Special Event Rentals will not be responsible for damages to items left in the tent rental. If the take-down is delayed with our crews on-site, additional labor fees at the standard rate per man per hour may be charged.
